Verity Professional Services Pty Ltd is inviting applications for a Contract Administrator to support contract coordination, client advisory work and broader professional services operations. VPS works with local and international clients across business administration, compliance coordination, investment property-related matters, providing practical support to owners, investors and organizations as they establish, manage and grow in Australia. As a Contract Administrator, you will work closely with management, clients’ teams and external professional partners to support the smooth delivery of VPS’ services. This is a role where accuracy, communication and commercial awareness come together as agreements, expectations and key project details are clearly understood, well-coordinated and managed.

About this Role

You will assist with the administration of client service agreement, engagement letters, consulting contracts and related business documents. The role also involves ensuring every service scopes, timelines, fees, client obligations and contract variations are clearly recorded and properly followed up. From time to time, you may also assist with contract documentation relating to selected property or investment-related matters, such as investment project support or client property transaction records.

Key Responsibilities

  • Prepare, maintain, review and organise contracts, service agreements, consultant appointments, contractor documentation, payments and associated project records.
  • Interpret contract terms, deliverables, timeframes and obligations to support accurate administration and timely follow-up of contractual matters.
  • Support in coordinating contract variations, amendments, extensions and supporting documentation, ensuring any agreed changes are clearly recorded, liaising to contract-related enquiries and resolve matters involving suppliers, customers or other external parties.
  • Advise management on contract administration matters and assist with implementing approved decisions.

Minimum requirements for this role are:

  • A relevant qualification at Diploma level or above in business, contract administration, project management, accounting, law, property or a related discipline, or equivalent experience
  • Strong ability to manage tasks independently, work effectively under pressure in a project-based environment and exhibit strong contract administration and documentation skills.
  • Strong written and verbal communication skills, with the ability to liaise professionally with management, contractors, consultants, suppliers, professional adviser from diverse business and cultural backgrounds
  • Ability to review documents carefully, identify inconsistencies or risks, escalate matters appropriately and maintain accurate records across multiple workstreams.
  • High level of attention to detail, discretion when handling confidential contractual, financial and project-related documentation.
  • Proficiency in both English and Vietnamese languages to accurately interpret and translate contractual terms to clients in cross-border business transactions and projects.
  • At least one year of experience in contract administration or related experience is required.
